While THE HAWK Elite Football Club owns and retains all rights to the content, branding, player and club data, images, and information published on this site, the underlying source code, scripts, functions, system architecture, and technical systems (collectively, "the Software") that power this website remain the intellectual property of The Sixth Studio.
The Sixth Studio has granted THE HAWK Elite Football Club a limited, non-exclusive license to use the Software solely for the operation and maintenance of this website. This license does not transfer ownership of the Software to THE HAWK Elite Football Club, and does not extend to any other website, product, or deployment beyond the one covered by the underlying development agreement between the two parties.
No part of the Software — including its code, functions, structure, architecture, or design logic — may be copied, reproduced, reverse-engineered, resold, redistributed, sublicensed, or claimed as original work, whether in whole or in part, by THE HAWK Elite Football Club or any third party, without the prior written consent of The Sixth Studio. Contracts

This Privacy Policy explains how THE HAWK Elite Football Club ("the Club", "we", "us") collects, uses, discloses, and protects personal data through this website and our club operations, in accordance with the Personal Data Protection Act 2010 (Act 709) and the Personal Data Protection (Amendment) Act 2024 ("PDPA").
This Club works primarily with children. Most of the personal data we hold belongs to minors (our registered players). Where this policy refers to "you", and the individual concerned is a player under 18, it refers to that player's parent or legal guardian acting on their behalf. We do not knowingly collect personal data directly from a child without a parent or guardian's involvement — player registration is completed by a parent/guardian, who provides consent to this policy at that time.

What personal data we collect
Depending on your relationship with the Club, we may collect:
Player registration data: full name, date of birth/age, school, category/age group, MyKid or MyKad number, player photograph, guardian's name, and a copy of the player's birth certificate or MyKid document where submitted for registration purposes.
Guardian/parent contact data: name, phone number, and address, collected so we can reach a player's family regarding club matters, safety, or emergencies.
Attendance and development records: training/session attendance, and periodic player performance evaluations completed by coaches (technical, tactical, physical, and related development ratings, plus coach comments).
Admin and coach account data: name, login credentials, and role, for staff who operate the Club's management system.
General website usage data: standard technical data (e.g. IP address) is processed briefly and automatically to keep the website secure — for example, to prevent abuse of report-lookup and login features — and is not used to build a profile of visitors.
Why we collect it, and on what basis
We collect and use this data for the operation of the Club, including: registering and managing players; taking attendance and tracking player development through coach evaluations; team and tournament administration; safety and identification of registered players (including the Digital ID / QR feature used at training and events); and communicating with guardians about club matters.
Where a player is a minor, our basis for processing is the consent given by their parent or guardian at the point of registration. Guardians may withdraw this consent at any time by contacting us, though this may mean the player can no longer participate in club activities that require this information (e.g. attendance tracking or tournament registration).
What is shown publicly on this website
To let parents, guardians, and the public follow the team, some player information is displayed publicly on this website without requiring a login: a player's name, age, school, category, and guardian's name, together with achievements, gallery photographs, and team/coach/management listings. Sensitive fields — including MyKid/MyKad number, guardian phone number, home address, and evaluation/performance reports — are never shown publicly and are restricted to authorised Club admins and coaches only.
If a guardian would prefer their child's information not appear on the public pages, please contact us and we will remove it.
Who we share data with
We do not sell personal data. We do not share personal data with third parties for their own marketing purposes. We do share data with service providers who help us run this website and store the information above on our behalf, strictly for that purpose:
Vercel (application hosting and file storage)
Turso (database hosting)
Google (Google Drive/Sheets, used for certain registration document handling)
These providers may process or store data on servers located outside Malaysia. Where personal data is transferred outside Malaysia, we take steps consistent with PDPA's cross-border transfer requirements, including relying on these providers' own security safeguards and, where applicable, contractual protections.
How we protect your data
We apply technical and organisational safeguards appropriate to the sensitivity of the data involved, including access controls that limit sensitive player information (MyKid number, guardian contact details, evaluation reports, documents) to authorised admin and coach accounts only, encrypted connections (HTTPS) for all data in transit, hashed storage of account passwords, and rate-limiting on public-facing lookup features to reduce automated abuse.
How long we keep data
We retain player and guardian data for as long as the player is an active or registered member of the Club, and for a reasonable period afterwards for record-keeping and legitimate club administration purposes. A guardian may request earlier deletion of their child's data at any time, subject to any records we are legally required to retain.
Your (or your child's) rights under PDPA
Subject to the PDPA, a guardian acting for their child may:
Request access to the personal data we hold about their child.
Request correction of inaccurate or outdated personal data.
Withdraw consent to our processing of their child's personal data.
Request a copy of their child's personal data in a portable format.
Lodge a complaint with us, or with the Personal Data Protection Commissioner (Jabatan Perlindungan Data Peribadi), regarding how we handle personal data.
To exercise any of these rights, contact us using the details above. We will respond within a reasonable time as required by the PDPA.
Data breach notification
In the event of a personal data breach that meets the threshold under the PDPA, we will notify the Personal Data Protection Commissioner and, where required, affected individuals (guardians), within the timeframes set out in the PDPA.
How we use cookies
This website may use cookies to help it function correctly and to understand general website traffic. Cookies do not give us access to your device or to any information beyond what you choose to share with us. Most browsers let you decline cookies, though this may affect some site features.
Changes to this policy
We may update this Privacy Policy from time to time to reflect changes in our practices or in the law. Material changes affecting how player data is handled will be communicated to guardians where practicable.

These Terms & Conditions govern your use of this website, operated by THE HAWK Elite Football Club, Penang, Malaysia ("the Club", "we", "us"). By accessing or using this site, you agree to these terms. If you do not agree, please do not use this website.
Use of this website
This website is provided for informational purposes, club news, player and team information, and access to the Club's internal management portal for registered admins, coaches, and authorised staff. You agree to use this site only for lawful purposes and in a way that does not infringe the rights of, or restrict or inhibit the use and enjoyment of, this site by any third party.
Access to admin and coach portal areas is restricted to authorised accounts. You are responsible for keeping your login credentials confidential and for all activity that occurs under your account. Notify the Club immediately if you suspect unauthorised use of your account.
Player registration & club membership
Registration of a player with the Club, and the collection of related player and guardian information, is governed separately by the Club's registration process and this website's Privacy Policy. Submitting a registration through this site does not itself guarantee a player's placement on a team; team selection remains at the Club's discretion.
Content & intellectual property
All content on this site — including text, images, branding, and player/team information — is owned by or licensed to THE HAWK Elite Football Club and is protected as described in our Disclaimer & Copyrights notice. You may not reproduce, redistribute, or use this content for commercial purposes without our prior written permission.
No warranty & limitation of liability
This site is provided "as is" without warranties of any kind. Full disclaimer and liability terms are set out in our Disclaimer & Copyrights notice, which forms part of these Terms.

Cookie Policy
This website does not use tracking or advertising cookies. Below is a plain explanation of the small amounts of data your browser stores locally to make the site and the Club's management portal work.
Theme preference (local storage)
If you switch between light and dark mode, that choice is saved in your browser's local storage (key: hawkTheme) so the site remembers your preference on your next visit to this device. This is never sent to our servers and contains no personal information.
Login sessions (session storage)
When an authorised admin or coach logs in to the management portal, a session token is stored temporarily in your browser's session storage to keep you logged in while you use the portal. This is automatically cleared when you log out or close your browser tab — it is not a persistent cookie, and it is never used to track you across other websites.
Website analytics
We use Vercel Web Analytics, a privacy-friendly analytics service that measures overall site traffic (e.g. page views) without using cookies, without collecting personal identifiers, and without tracking individual visitors across sites.
Managing your browser storage
You can clear local and session storage at any time through your browser's settings (usually under "Privacy" or "Site data"). Doing so will reset your theme preference and log you out of any active portal session, but will not affect any data already saved to the Club's systems.
